Ustaad Group is seeking a highly organized and personable female Office Manager and Executive Assistant, preferably based in Scheme 33, Karachi or surrounding areas, to serve as the welcoming face of our company while supporting the leadership. This role combines front-desk reception, executive assistance, and office administration to ensure smooth operations and exceptional client service. Key duties include greeting clients, managing calls, scheduling for the CEO, coordinating with vendors and suppliers, handling documents, maintaining CRM records, and overseeing office supplies. The ideal candidate will hold at least a Bachelor's degree in Civil Engineering or Architecture, must have strong communication skills, and be proficient with Microsoft Office, CRM tools, and social media. This position offers a dynamic, client-facing environment where adaptability and initiative are essential.

Front Desk & Client Experience
- Greet and welcome visitors, clients, and guests with professionalism and warmth.
- Manage incoming calls and direct them promptly.
- Provide accurate information and ensure visitors’ needs are met.
Executive & Administrative Support
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
- Handle document preparation, filing, and follow-ups.
- Maintain and update CRM records for accuracy and completeness.
Office Administration
- Oversee office supplies and vendor coordination.
- Ensure both digital and physical files are organized and accessible.
- Post content and engage with audiences on company social media platforms.
- Assist in promoting company services online to increase visibility.
Qualifications
- Minimum Degree requirement is Bachelors
- Previous experience in office management, executive assistance, or reception preferred.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office Suite, CRM tools, and social media platforms.
- Highly organized, detail-oriented, and skilled at multitasking.
Work Environment
